What is expected of you during your wrapping shift:
You will be required to submit your fundraising approval through the appropriate channel (SFRGs through your battalion commander and private organizations through FMWR) and return the signed form to us no later than 3 days prior to the day of your first shift.
When applying for a fundraising approval, you are allowed to add additional items to your request. If you wish to have various Christmas type items such as unit ornaments, specialty gift tags etc. for sale at your gift-wrapping shift as well. Please note, bake sales are not permitted during gift wrapping.
You must print a copy of your signed fundraising form to display at the booth during your shift.
You have four hours to wrap during your assigned shift, please try to have at least 2 volunteers there the entire four hours. For those working the weekends and as it gets closer to Christmas, we encourage you to have more volunteers on hand. (All volunteers under 18 MUST be supervised by an adult at all times.)
Plan to arrive 15 minutes prior to your shift. The morning shift will need to be cleaned up at 2pm to allow for the afternoon shift to take over. The afternoon shift should be prepared to stay up to 20 minutes after your shift to clean up your area.
Your table MUST be manned the ENTIRE shift. This means no arriving late or leaving early. Failure to do so will result in not being allowed to participate the following year.
All volunteers must sign the “Volunteer Log” stating they have read the “Rules and Expectations.”
On heavy shopping days, your group may experience a rush of customers towards the end of the day. Be advised that your time may run over, and notify your end of shift volunteers accordingly.
Children are allowed to be at the wrapping stand. HOWEVER, children need to be safe. (A play yard or pack and play are great for little ones who like to wander.) Please use your judgement in allowing them to help your organization.
You are NOT permitted to walk around the Exchange to solicit customers.
You are permitted to display ONE other sign letting customers know who you are. Please note, NO handwritten signs will be allowed.
You can verbally tell people about your organization; HOWEVER, no papers, applications or flyers can be given out.
The Exchange will provide wrapping paper only. It is the responsibility of your organization to provide tape, scissors, tags, bows and any other decorations you wish to use.
To collect your wrapping paper, go to customer service. You will be given two rolls at a time. When you run out of one, take the empty roll back to customer service for a replacement. At the end of your shift, please return all rolls (even if empty) back to customer service.
Your organization is responsible for ensuring the gift-wrapping station is kept clean during your shift and ready at the end of your shift for the next organization. Please do not use the table and/or tablecloths as a place to store tape pieces. It only creates a messy work area. To ensure that the wrapping surfaces and tablecloths stay clean, please keep food and drink off of the tables and do not stick chewing gum under the tables.
A few pointers to make your shift successful:
Dress up for the holidays if possible. Santa hat, reindeer antlers, ugly Christmas sweaters, etc.
The more beautiful you make your packages the more donations you will get. Go the extra mile, have special bows or ribbons and other nice decorations for the packages. Plan ahead! Decorations like ribbons and bows and items like tape do sell out at the PX and might not be available the day of your shift, especially the closer it is to Christmas. There are also plenty of stores off post that sell nice decorations for packages at very reasonable prices. Stock up to make your wrapping a little extra special.
And remember, no gift is too big, too small, or too weird to be wrapped! In the past, someone asked to have Taco Bell tacos wrapped up as a joke for a co-worker. A donation is a donation.
Service with a smile! The friendlier and more upbeat you are, the better your chances are for good donations.
PLEASE NOTE: Opening hours for the Exchange during the holiday season are subject to change. While the will do our best to notify you of any changes, it is ultimately your responsibility to call and check with the Exchange to confirm their hours of operation on your date.
If you have anything that requires immediate attention you will find contact numbers for the BCSC representatives in the binder at the stand.
